Privacy Policy
Last Updated: April 2nd, 2026Welcome to Aurex ERP. We are committed to protecting your personal data and your right to privacy. This document outlines how we collect, use, and safe-keep your business intelligence and personal information.
1. Introduction
When you visit our website, and use our services, you trust us with your personal information. We take your privacy very seriously. In this privacy policy, we seek to explain to you in the clearest way possible what information we collect, how we use it and what rights you have in relation to it.
This policy applies to all information collected through our Services (which, as described above, includes our Website, ERP Dashboard, and Portal), as well as any related services, sales, marketing, or events.
2. Information We Collect
We collect personal information that you voluntarily provide to us when you register on the Services, express an interest in obtaining information about us or our products and services, when you participate in activities on the Services or otherwise when you contact us.
Personal Information Provided by You: The personal information that we collect depends on the context of your interactions with us and the Services, the choices you make and the products and features you use. The personal information we collect may include the following:
- Account Data: Names, email addresses, job titles, and phone numbers.
- Authentication Data: Passwords, multi-factor authentication codes, and security salt patterns.
- Business Data: Company names, tax registration numbers (VAT/ZATCA), financial year cycles, and operational IDs.
- Payment Data: Payment methods and billing history processed through our secure PCI-compliant partners.
3. How We Use Your Information
We use personal information collected via our Services for a variety of business purposes described below. We process your personal information for these purposes in reliance on our legitimate business interests, in order to enter into or perform a contract with you, with your consent, and/or for compliance with our legal obligations.
- To facilitate account creation and logon process: We use the information you allowed us to collect to facilitate account creation for the performance of the contract.
- To manage user accounts: Keeping your organizational hierarchy intact and ensuring data isolation.
- To deliver and facilitate delivery of services to the user: Processing transactions, generating reports, and triggering automated workflows.
- To respond to user inquiries/offer support: Resolving technical tickets and providing training assistance.
- Regulatory Compliance: Fulfilling regional data residency requirements and e-invoicing laws (e.g., ZATCA Integration).
4. Data Isolation & Multi-Tenancy
Our Platform is built on a high-security multi-tenant architecture. This means that while multiple companies share the same software infrastructure, your data is partitioned into dedicated units (logical and/or physical database instances). This ensures that one tenant cannot access another tenant's data under any circumstances.
5. Storage and Security
We have implemented appropriate internal security measures designed to protect the security of any personal information we process. All sensitive data is encrypted using AES-256 at rest and TLS 1.3 in transit.
Access to client data by Aurex employees is strictly restricted to senior engineers for troubleshooting purposes only, and each access event is logged in a permanent, non-deletable audit trail.
6. Sharing Your Information
We do not sell your data. We only share information with your consent, to comply with laws, or to provide you with services (e.g., a cloud hosting provider). We may process your data if it is necessary for the following legal basis:
- Consent: Explicit permission for specific purposes (like marketing).
- Performance of a Contract: Fulfilling the ERP subscription agreement.
- Legal Obligations: Governmental requests or judicial proceedings.
7. Your Privacy Rights
You have the right to request access to your data, rectifications of errors, and in some jurisdictions, the total erasure of your records. You also have the right to export your entire business database at any time (Data Portability).
To exercise these rights, please visit your account settings or contact our Data Protection Officer.
